Privacy Policy
The Privacy Policy of Whitby Hood Cleaning is the statement of how this website handles the personal information a kitchen sends through its quote form, written to meet the Personal Information Protection and Electronic Documents Act (PIPEDA). It names the five fields the form asks for, the two systems a submission passes through, how long a record stays on file, and the phone number that handles a request to see, correct or remove it. No other personal information is gathered on purpose. This version took effect in September 2026 and applies to whitbyhoodcleaning.ca and every page under it.
The information the quote form asks for
Five fields you type. Your name, a phone number, an email address, the name of the business or kitchen, and a description of what you need. All five are required, because a request with a missing phone number cannot be answered. The same form appears on the homepage and on the contact page.
Three things the page attaches. When you press send, the page also attaches the address and title of the page you sent it from, a label saying whether the homepage form or the contact form was used, and a page-load timestamp. The timestamp exists to screen out automated submissions that arrive faster than a person can read the form. The server then stamps the time of submission and a short reference code, so a double tap on the button shows up as one enquiry rather than two.
One field you never see. The form carries a hidden field that a person cannot fill. A submission that arrives with that field filled is treated as automated and discarded before it reaches anyone.
Nothing sensitive. No page on this site asks for a payment card, a bank account, a government identification number or a health detail. If a page ever appears to ask for one of those, leave it blank and call 289-274-0423.
The route a submission takes
First stop: a Netlify function. Your browser posts the form to a small program hosted by Netlify under this domain. The program refuses posts that come from any website other than this one, discards submissions that fail the hidden-field or timestamp screen, confirms the five required fields are present, checks that the phone number has ten digits, and caps the length of each field. It forwards the enquiry and keeps no database of submissions of its own.
Second stop: the GoHighLevel CRM. An enquiry that passes those checks becomes a contact record in the customer relationship system used by Whitby Hood Cleaning and its operating crew. The record triggers a notification, and a member of the crew may then call, text or email you about the request. Answering the request, arranging the free walk-through, sending the written quote, and keeping the record of a completed job are the only purposes the record serves.
Not for sale. Whitby Hood Cleaning does not sell, rent or trade contact records, does not add them to a third-party marketing list, and does not pass them to an advertising network. The only messages sent from a record are the ones that deal with the job you asked about.
Where the servers sit. Netlify and GoHighLevel may hold data on servers outside Canada. PIPEDA permits a Canadian business to use a foreign processor provided the information receives comparable protection under contract, and both providers publish their own privacy and security terms.
Retention, and how to see, correct or delete a record
An enquiry that does not become a job. The record stays on file while the enquiry is open and for long enough afterwards that a returning caller is recognised. It is not kept indefinitely, and it can be removed sooner on request.
A completed job. The signed health and safety certificate and the before-and-after photographs are safety records. Whitby Fire and Emergency Services, Scugog Fire and Emergency Services, the Uxbridge Fire Department, an insurer, a landlord or a buyer of the business may ask to see them long after the visit. Those records stay on file, together with the contact details needed to reissue them.
Seeing what is held. PIPEDA gives you a right of access to the personal information an organisation holds about you. Ask by phone at 289-274-0423 or through the contact page, and the details on file are provided. PIPEDA requires a response within 30 days.
Correcting it. A wrong phone number, an old email address or a misspelled kitchen name is corrected as soon as it is pointed out.
Removing it. Contact details are removed on request. The one exception is the certificate and photographs for work already performed, which are business and safety records. If that exception applies, it is explained at the time rather than used as a reason to refuse the rest of the request.
If the answer does not satisfy you. Raise it by phone first. Anyone in Canada who believes an organisation has mishandled personal information may also complain to the Office of the Privacy Commissioner of Canada.
Cookies, the chat widget, server logs and outside links
Cookies. The pages of this website set no cookie of their own. As of the effective date, no analytics script and no advertising pixel is written into these pages. The site is verified with Google Search Console through a tag in the page header; that tag sets nothing and sends nothing about you.
The chat widget. A chat window supplied by GoHighLevel (LeadConnector) may load on a page. If it does, it uses its own browser storage on this domain to hold a conversation together as you move between pages, and anything typed into it lands in the same CRM as the form. The widget is optional. The phone and the form do everything it does.
Server logs. Netlify keeps the standard access logs every hosting provider keeps: the requesting address, browser type, page requested and time of request. Those logs exist for security and reliability. Whitby Hood Cleaning does not compile them into profiles of individual visitors.
Outside links. Some pages link to outside organisations, such as a fire service or the Durham Region Health Department. Once you leave this domain, that organisation's privacy practices apply.
Changes. If the way information is handled changes, this page changes with it and the effective date above is updated. The conditions a job runs under are a separate document, the terms of service. What each service involves is described on the services page.
Privacy: frequently asked questions
Does sending the quote form put me on a marketing list?
No. Whitby Hood Cleaning uses the form record to answer that request, book the free walk-through and send a written quote within 24 hours. No newsletter is sent from this website. A text or email that follows a submission is about the job you asked about, and a reply of stop to any text ends the texts.
Why does the record show which page I sent the form from?
The sending page is the only way to know which page produced an enquiry. The homepage and the contact page carry the same form, and the page address tells the business which one a kitchen used. The address is stored on the contact record and used for nothing else.
Who can see my enquiry once it is in the CRM?
Whitby Hood Cleaning and its operating crew, the people who quote and perform the work. Netlify and GoHighLevel process the data as service providers under their own published terms. Nobody else receives it.
How do I have my details deleted?
Call 289-274-0423 or use the contact page and ask for deletion. Contact details are removed. If a visit was performed, the certificate and photographs for that visit stay on file as a safety record, and that exception is explained when you ask.
Does the chat widget follow me to other websites?
No. The GoHighLevel chat widget keeps its storage on this domain, for the single purpose of holding a conversation together as you move between pages here. Its provider publishes its own privacy terms, and the widget can be ignored entirely.
