The Terms of Service of Whitby Hood Cleaning are the conditions that apply to every quote, walk-through, cleaning visit, fan repair and certificate issued for a kitchen in Whitby, Brooklin, Port Perry, Scugog or Uxbridge. The pages of this website describe the work; they are not a contract. The written quote sent after the free walk-through is the agreement for a specific job, and its wording governs wherever it differs from this page. Ontario law applies to every job. These terms were last revised in September 2026, and the line at 289-274-0423 answers any question about them before a booking is made.

What a quote covers

The scope is named, item by item. A cleaning quote lists each canopy, the filters, the plenum, every duct section that will be reached and the rooftop fan. A fan repair quote names the parts. A deep cleaning quote lists the equipment and surfaces included. Anything that needs its own approval, such as a hinge kit for a bolted fan, a rooftop grease containment unit, a new access panel or replacement filters, appears as a separate line. Only a line on the quote reaches the invoice.

The published figures are starting points. From $385 per visit for a single-hood kitchen up to ten feet, and from $725 per visit for a multi-hood kitchen of two to four canopies, tell a kitchen the order of magnitude. Larger systems are quoted on site after a free walk-through. Fan repair and deep cleaning are quoted per job after inspection or walk-through. A figure on this website is not an offer for a particular system.

The quote arrives in writing within 24 hours of the walk-through and holds its price until the date printed on it. A kitchen whose menu, hours or equipment have changed since the walk-through should confirm by phone before booking, because each of those changes how much grease the system carries.

Work found once the system is open stops at the point of discovery. A corroded section, a blind run or a fan that cannot be isolated is reported and quoted separately. Nothing is added to the invoice on the assumption that it would have been approved.

What the certificate does and does not assert

What it records. A signed health and safety certificate that names the sections cleaned, the date of the visit and the standard the work references, which is the published NFPA 96 standard. Before-and-after photographs of every cleaned surface accompany it. A section that could not be reached is recorded as not reached, with the reason.

What it is not. The certificate is not a fire-code compliance ruling. That ruling belongs to the authority having jurisdiction: Whitby Fire and Emergency Services for Whitby and Brooklin, Scugog Fire and Emergency Services for Port Perry and Scugog, and the Uxbridge Fire Department for Uxbridge. The certificate is not a public health inspection result, which belongs to the Durham Region Health Department, and it is not an engineering opinion on the condition of the ductwork.

No NFPA credential exists. Whitby Hood Cleaning references the published NFPA 96 standard and is not affiliated with NFPA. NFPA does not license, approve or endorse cleaning contractors, so no contractor anywhere can hold such a status.

Compliance stays with the operator. The Ontario Fire Code references NFPA 96, and cleaning at an interval matched to cooking volume is one part of meeting it. Keeping the records, maintaining the suppression system and running the kitchen safely between visits remain the responsibility of the kitchen. The NFPA 96 guide explains what the standard asks for.

Site access, safety, scheduling and cancellation

Entry and keys. The customer arranges entry at the agreed time. State on the booking who holds the keys, whether a manager will be present, and how the alarm is handled.

Roof access. The rooftop fan sits on a roof the tenant rarely controls. In a plaza on Thickson Road or Dundas Street, the landlord or property manager usually has to grant roof access, and that conversation is the most common reason a booking slips. Start it before the walk-through.

Power to the fan. The rooftop fan must be isolable at a disconnect before anyone works on it. Where no disconnect exists, the fan is noted on the walk-through and may be left out of scope until an electrician installs one. Electrical work is not part of any quote issued under these terms.

The kitchen, ready. Equipment cold, food covered or removed, and the line clear where the scope requires it.

Insurance before work starts. Proof of WSIB coverage and liability insurance is supplied before work starts. Pre-existing conditions, such as a corroded duct, a failing curb or a damaged roof membrane, are photographed before the first surface is touched so any later question has an answer.

Scheduling. Visits run overnight or between services, so the kitchen trades as normal. A residence or hall with a fixed break should book far enough ahead for the visit to land inside it.

Cancellation. Reasonable notice is expected in both directions. An overnight window cancelled at the door cannot be resold that night. If a cancellation charge applies to a job, it is the one printed on the quote and no other. A visit Whitby Hood Cleaning cannot honour is moved to the earliest workable date at no cost.

Payment, scope of work and governing law

Payment. The invoice matches the quote plus any item approved in writing afterwards. Payment terms are printed on the quote and repeated on the invoice. The certificate and photographs accompany the completed visit.

In scope. Four services are offered under these terms: hood cleaning, kitchen exhaust cleaning, exhaust fan repair and installation including hinge kits and rooftop grease containment, and commercial kitchen deep cleaning. Each is described on the services page.

Out of scope. HVAC, air duct cleaning, coil cleaning, dryer vent cleaning, sanitation contracts, roofing, gas fitting, electrical work, fire suppression servicing, structural duct replacement and grease interceptor pumping are not part of any quote issued under these terms. Where one of those turns out to be the real answer to a problem, it is reported and referred to the right trade rather than attempted.

Responsibility. Whitby Hood Cleaning stands behind the work named on the quote. It does not accept responsibility for the outcome of a third-party inspection, for loss of trade, or for a condition the customer knew about and did not disclose.

Governing law. These terms and every job performed under them are governed by the laws of the Province of Ontario and the federal laws of Canada that apply in Ontario. Any dispute is heard in the courts of Ontario.

Is the price on the website the price on the invoice?

The website figures are starting points for straightforward systems: from $385 per visit for a single hood up to ten feet, and from $725 per visit for two to four canopies. The invoice follows the written quote, which prices the actual system after the free walk-through. Larger systems, fan repairs and deep cleans carry no website figure at all.

Does the certificate mean the fire inspector will pass the kitchen?

No. Whitby Fire and Emergency Services, Scugog Fire and Emergency Services and the Uxbridge Fire Department inspect the whole premises on the day, including suppression, extinguishers, exits and storage. The certificate records that the exhaust system was cleaned to the referenced standard on a stated date. That is the part a cleaning contractor can stand behind.

Who arranges roof access, the tenant or the landlord?

The customer arranges it, and in a plaza that usually means asking the landlord or property manager. The rooftop fan and the building duct normally belong to the landlord, while the canopy and its branch belong to the tenant, which is why a hinge kit or containment unit is quoted as its own line so the right party can approve it.

What happens if a section cannot be reached on the night?

The crew cleans everything reachable, and the certificate records the missing section as not reached with the reason. The visit is invoiced for the scope completed. A return visit for the remaining section is booked once access is sorted, so arranging access before the visit avoids paying for two trips.

Can a booking be moved or cancelled?

Yes, with reasonable notice from either side. Any cancellation charge that applies is the one printed on the quote. A recurring interval can also be revisited whenever the menu, hours or equipment change, because each of those changes how fast the system loads.
